REGISTRATION - GENERAL QUESTIONS

When does Registration close?
Early Bird discount – Closes 18 August 2017. 
Post-Early Bird Group Registrations – Closes 21 September 2017
Individual Registrations – Close when venue has reached capacity

REGISTRATION - CATEGORY QUESTIONS 

  • I am under 18 - what category should I register under?
  • I am aged 18-30 - what category should I register under?
  • Do I have to register as a part of a group?

I am under 18 - what category should I register under?
Under 18s - You must register as a part of an U18 Group, and participate with and be supervised by a Group Coordinator.

I am aged 18-30 - what category should I register under?
There are two Registration options for 18-30 year olds:

  • Individual – not part of a group
  • Adult Group – part of a group

Do I have to register as a part of a group?
Under 18s - You must register as a part of a group and participate with and be supervised by a Group Coordinator. 
Ages 18-30 - You are able to register as an individual.

REGISTRATION – FEES & PAYMENT QUESTIONS

  • How long does the Early Bird Registration period last?
  • Why do some people have to pay more for registration than others?

How long does the Early Bird Registration period last?
Early Bird Registrations close on 18 August 2017. Any new registrations after 18 August 2017 will incur the Full Registration Price.

Why do some people have to pay more for registration than others?
The Australian Catholic Youth Festival is a truly national event – we are committed to making it accessible to participants across Australia. The Tiered Pricing System is designed to assist the affordability of the Festival for all young people regardless of their location.

REGISTRATION – TRANSFER QUESTIONS

  • I am part of a Group Registration. Can I transfer my registration to someone else if I have paid for Registration but am no longer able to attend?
  • I have registered as an Individual. Can I transfer my registration to someone else if I have paid for Registration but am no longer able to attend?

I am part of a Group Registration. Can I transfer my registration to someone else if I have paid for Registration but am no longer able to attend?
Up until 18 August 2017 - This can easily be amended by your Group Coordinator 
18 August 2017 onwards – Please refer to the Cancellations section

I have registered as an Individual. Can I transfer my registration to someone else if I have paid for Registration but am no longer able to attend?
No - you will need to cancel your registration. Please refer to the cancellation section.

REGISTRATION – CANCELLATION QUESTIONS

  • What happens if I register and pay for the Festival but need to cancel prior to 22 September 2017?
  • What happens if I register and pay for the Festival but need to cancel between 22 September and 7 November 2017?
  • What happens if I register and pay for the Festival but need to cancel after 7 November 2017?

What happens if I register and pay for the Festival but need to cancel prior to 22 September 2017?
Your Registration fee will be refunded, minus a $20 administration fee per person. Your refund will take place within 30 days of notification.

What happens if I register and pay for the Festival but need to cancel between 22 September and 7 November 2017?
50% of your Registration fee will be forfeited per person. Your balance refund will take place within 45 days of notification.

What happens if I register and pay for the Festival but need to cancel after 7 November 2017?
Unfortunately, no refunds will be given after 7 November 2017.

REGISTRATION – GROUP COORDINATOR QUESTIONS

  • I am a Group Coordinator. Do I have to register my whole group at the same time?

I am a Group Coordinator - do I have to register my whole group at the same time?
No – once you have registered as a Group Coordinator, you are able to add participants and adult leaders to your group until the close of Registration on 22 September 2017.

Additional participants will be charged at the price applicable to their time of Registration.

AGE

AGE - GENERAL QUESTIONS

  • I am younger than Year 9 - can I come to the Festival with my family?
  • I'm older than 30 - can I still register as a participant for the Festival?

I am younger than Year 9 - can I come with my family?
The Festival is for young people who are in Year 9 (in 2017) up to the age of 30. If you are younger than this, we look forward to welcoming you next time!

I'm older than 30 - can I still register as a participant for the Festival?
No – however, over 30s might like to register as

  • a Group Coordinator
  • an Adult Leader
  • an Encounter Expo Exhibitor

 

FOOD

  • Is food included in my registration price?
  • Where can I purchase food?
  • Will there be water stations at the Festival?

Is food included in my registration price?
No – but there will be a range of food outlets at the various Festival venues which will cater for all dietary requirements.

Where can I purchase food?
Outside of the Festival venues, there are a variety of fast-food outlets and cafes within walking distance. You also might like to shop at a supermarket near where you are staying or pack a picnic!

Will there be water stations at the Festival?

Yes – there will be many water stations throughout each Festival venue.

 

ACCOMMODATION

  • How can I book accommodation for the Festival duration?

How can I book accommodation for the Festival duration?

Harvest has been appointed as the official accommodation provider for the Festival.


SPECIAL NEEDS

  • Are the Festival buildings accessible for wheelchair users?

Are the Festival buildings accessible for wheelchair users?
Yes – all Festival venues are wheelchair accessible.


DURING THE FESTIVAL

DURING THE FESTIVAL – WORSHIP QUESTIONS

  • What opportunities will I have to go to Mass each day?
  • Will the Sacrament of Reconciliation be available?
  • Who can attend a Plenary session?
  • What happens during a Plenary Session?

What opportunities will I have to go to Mass each day?
Mass will be celebrated several times a day in the Worship Centre at Sydney Showground. The entire Festival community will celebrate Final Mass together in the Domain at 6.30pm on Saturday 9 December 2017.

Will the Sacrament of Reconciliation be available?
Reconciliation will be made available throughout Thursday, Friday and Saturday at the Festival at designated Reconciliation areas.  On Saturday Reconciliation will be available at St Mary’s cathedral from 3pm – 5.30pm and also at the Domain.

Who can attend a Plenary Session?
All Registered Festival participants. Such large gatherings provide powerful experiences that can deeply impact on participants. We expect 15,000 attendees to gather in Qudos Bank Arena for the 4 Plenary sessions.

What happens during a Plenary Session?
Plenaries will be key times for the whole Festival community to gather and celebrate the theme of ‘Joy’ through

  • communal prayer
  • catechesis
  • music

DURING THE FESTIVAL – ACTIVITIES QUESTIONS

  • How much spending money will I need during the festival?
  • What kinds of Social Justice activities will there be the opportunity to be involved with?
  • What kinds of workshops will I be able to attend?
  • What happens if there is no room left in a workshop I want to go to?

How much spending money will I need during the festival?
During the Festival you will have the opportunity to:

  • explore the Marketplace and buy a range of books, CDs, etc.
  • participate in amusements
  • buy food and refreshments
  • purchase merchandise in the Encounter Expo

$25 a day (if buying food and snacks) should be ample - unless you are intending to spend up big in the Marketplace and Encounter Expo!

What kinds of Social Justice activities can I get involved with at the Festival?
A number of Social Justice agencies will provide young people with hands-on opportunities as well as education-based workshops. Details are to be announced when specifics are available.

What kinds of workshops will I be able to attend?
Workshop options will be available to you on each Festival day.

What happens if there is no room left in a workshop that I want to attend?
Arrive early to something you really don't want to miss - it will be first in, best dressed! Many of the popular workshops will take place twice in the program.

DURING THE FESTIVAL – ASSISTANCE QUESTIONS

  • If I have questions during the Festival, who can I ask? Will the volunteers be easily identifiable?
  • Where can I go if I am sick or need first aid assistance during the Festival?
  • What happens if I get separated from my group at the Festival?

If I have questions during the Festival, who can I ask? Will the volunteers be easily identifiable?
Our highly-visual volunteer team will be on hand to help you out during the Festival. The ACYF App will allow you to keep up to date during the Festival.  There will be a dedicated Help Desk clearly visible at the venues.

Where can I go if I am sick or need First Aid assistance during the Festival?
There will be clearly identifiable First Aid stations available throughout the Festival venues. If you have any medical conditions, it is your responsibility to bring the appropriate medication and medical ID with you to the Festival.

What happens if I get separated from my group at the Festival?
Groups are advised to organise meeting points at specific times to check in with all members. Volunteers will be available at an information desk and will have lists of Group Coordinators’ mobile numbers if required.

ENCOUNTER EXPO & EXHIBITORS 

  • Where do I get information about being an Expo Exhibitor?
  • Can I attend the Plenary Sessions if I am an Expo Exhibitor?

Where do I get information about being an Expo Exhibitor?

Potential exhibitors are asked to register their interest – details can be found on the Expo Prospectus on the ACYF website. A follow-up submission will be requested, outlining the purpose of the stall and possible strategies for engagement. Limited and varied space is available.

Can I attend the Plenary Sessions if I am an Expo Exhibitor?
Exhibitor registrations are not equivalent to a Festival Participant Registration - therefore access to other Festival venues including Qudos Bank Arena for Plenaries is not included.

 

PRESENTERS

  • Can I attend the Plenary Sessions if I am a presenter?

Can I attend the Plenary Sessions if I am a presenter?
If you are registered with a group you will have access to the Plenary sessions. Otherwise, unfortunately, we cannot guarantee that all presenters will be able to attend all the plenaries, due to the capacity of the venue.

 

VOLUNTEERS 

  • What are the minimum requirements for a volunteer?
  • Are there any exemptions to the age limit for volunteers?
  • Will appropriate training be provided?
  • As a volunteer will I have access to the festival?
  • Will accommodation and/or transport be provided for volunteers?
  • How do I apply to be a volunteer?
  • How will volunteers be selected?
  • When will volunteers be notified that they have been selected for the Festival?
  • How will my volunteer training be given?
  • What volunteering duties are available at the Festival?

What are the minimum requirements for a volunteer?
All volunteers:

  • must be 18 years of age or older (as at 1st December 2017)
  • must hold a valid Working With Children Check
  • may also need to provide appropriate referees

Are there any exemptions to the age limit for volunteers?
No.

Will appropriate training be provided?
Yes - all volunteers will undergo training and induction to be a volunteer. The amount of training will depend on the role that each volunteer will undertake.

As a volunteer will I have access to the Festival?
Whilst undertaking your volunteering duties - You will only be able to access certain assigned venues.

All other times - Unfortunately you will not be able to access other parts of the Festival when not undertaking your volunteer duties.

Will accommodation and/or transport be provided for volunteers?
Yes - volunteers will be able to travel by train to and from the Festival.  A reduced parking rate is currently being negotiated with Sydney Olympic Park Authority.

Accommodation during the Festival is not provided.

How do I apply to be a volunteer?
You need to register your interest here.

How will volunteers be selected?
A committee of the ACYF will review all applications.

When will volunteers be notified that they have been selected for the Festival?

Mid-August 2017.

How will my volunteer training be given?
Depending on your volunteering duties, training will take place in the following ways:

  • face to face workshop
  • online

 Induction will take place in the first 15 minutes of each scheduled shift.

What volunteering duties are needed at the Festival?
Volunteer roles include, but are not limited to,

  • Welcomers
  • Way finders
  • Program & stage management support
  • Guest support
  • Merchandise sales
  • Activities assistants
  • Crowd control

 

PILGRIMAGES

  • When are the pilgrimages?
  • Where will the pilgrimages be?
  • Where can I find out more about the pilgrimages?

When are the pilgrimages?
The pilgrimages will take place in the afternoon of Saturday 9 December 2017.

Where will the pilgrimages go?
There are three pilgrimages to The Domain:

  1. Via North Sydney, visiting Mary MacKillop Place
  2. Via Milsons Point
  3. Via St Mary’s Cathedral
